Add contributors (e.g. cast and crew)

Adding contributors is an essential part of registering a project. This is most easily done by uploading your cast and crew lists. Contributors can also be added individually.

Once added,  they will be invited to complete the Diamond survey about themselves and their experience. Participation is optional. If they have previously taken part, they won't be asked to complete the survey again but will be notified that they have been linked to your project.

Diamond encrypts, anonymises and protects individual responses using advanced privacy technology. No Individual responses are visible to anyone other than the person who provided them. Diamond reports are based on aggregated and anonymous information shared by contributors.

When to add contributors

Add your contributors as soon as possible during production onboarding.  The aim is to reach people when they are most engaged and likely to contribute.

If your contributor lists change after this date, you can replace them, add new lists or add contributors individually.

Before adding contributors to Diamond, make sure they have been told about Diamond and given the opportunity to opt out. The Engagement Toolkit includes ready-made resources to help you explain Diamond and answer common questions.

Add contributors

On the Project page, select the On Screen or Crew tab and click the UPLOAD LIST button.

If you want to add a contributor individually, you can also use the ADD INDIVIDUAL button.

Use the Suppliers feature to invite post-production suppliers to add their contributors as well.

Contributor information required

The following basic information is required:

  • Role type/title (e.g. Director, Lead Actor, Presenter).
  • Character name (for scripted productions only).
  • Email or Diamond linking code (DLC).
  • Indicate if the email is the contributor's own or belongs to a representative, e.g. a parent/guardian or agent.
Your contributor list may contain other information but this won't be captured in Diamond. We recommend using our templates as they're based on industry standards and the layout and headings will ensure that data can be uploaded quickly and without error. However, you can still use your own pre-existing lists.

You should include all on-screen and crew contributors who are directly or indirectly engaged by a production, and who have provided appropriate consent to be contacted. Learn more here.

Upload steps

There are 4 simple steps to any upload:
  1. Select file. Upload your cast and crew lists in Microsoft Excel .xlsx format. If you are having difficulty creating an .xlsx file, here are some tips.
  2. Check columns. Map the columns of your spreadsheet to the type of data you are importing.  If using our templates, no mapping is required.
  3. Edit. If the tool doesn't recognise the contributor role, or the type of data, it will flag it amber or red for checking/fixing. It will offer alternative department and role options and allow you to create custom roles.
  4. Select episodes. Confirm what episodes the list relates to. Note you can also edit this role by role after the upload.
Once your project has been verified, any contributors added will be sent a survey invitation or, if they've previously participated, they will receive a notification that they have been linked to your project.

These steps are illustrated in the screenshots below.

Step 1 - select your file

Step 2 - check headings have mapped correctly

Step 3 - if flagged, clean up the data by mapping roles and editing

Step 4 - confirm episodes

Post-upload edit - edit afterwards if required.
